Question: Sometimes when we try to commit a Parcel and everything looks like it should match for the Asmt Prop Type, the Parcel still won't commit. We know setting it at Mixed Use isn't the correct Asmt Prop Type but don't know what else to do. How do we fix this?
Understanding how Asmt Prop Type Validates a Parcel: When validating a Parcel to make sure that the selected Asmt Prop Type is the correct choice for the Parcel, the validation will check both Cost and Override records to make sure that the Admin Codes are valid for the selected Asmt Prop Type.
Troubleshooting 1: If all of the Cost Admin Codes for Land and Improvements look valid, check to see if the Parcel has an Override record. If the Parcel does have an Override record, select the Override record and update the Admin Codes associated with those records to the correct values if the Override records are still needed or delete them if they are no longer needed. For detailed instructions on updating or deleting Admin Codes associated with Override records to assign an Asmt Prop Type, see the article: Assigning an Asmt Prop Type to a Parcel
Helpful Hint: If your county has Overrides that have come in through conversions that are no longer needed, reach out to Scott and he can delete the Override records in mass so that you do not need to delete them Parcel by Parcel.
Troubleshooting 2: If all of the Cost and Override records look valid for the Asmt Prop Type selected, take a look (or ask your county Admin to take a look) at the Admin Sys Codes section of CAMA Admin. In some instances, during conversion, the Assessment Class may have come in mismatched with the associated Admin Code.
In these instances, you may be selecting the correct Admin Code but the associated Assessment Class is incorrect in CAMA Admin making the Asmt Prop Type appear invalid. You can review your Admin System Codes in CAMA Admin by clicking on Admin Sys Codes to open the Admin System Codes section. Each Admin Sys Code will have an associated Assessment Class in the Asmt Class column:
AS - Agriculture Secondary
RP - Residential Primary
RS - Residential Secondary
CP - Commercial Primary
CS - Commercial Secondary
If the Admin Sys Code and associated Assessment Class for your county appear to be mismatched, reach out to Scott and he can get those updated for you. Question: We have Parcels that are not Mixed Use but also do not fall into one of the pre-defined Asmt Prop Type codes in CAMA Admin. What should we select for those Parcels in order to commit the Parcels without errors? Should we just start adding new types to fit our county's needs?
Answer: Every county is made up a bit differently but the purpose of assigning an Asmt Prop Type is to create uniform definitions to use when sending reports to state officials. Although you are able to edit Asmt Prop Types in CAMA Admin and add new Asmt Prop Types in CAMA Admin, this should not be done without a discussion with the larger User group.
Solution: If you are finding there are multiple Parcels within your county that fall outside of the default list of Asmt Prop Type codes and are also not Mixed Use, please reach out to Scott or Julie and let them know the make up of those Parcels. We do have the ability to add additional Asmt Prop Type codes when necessary in order to properly classify the Asmt Prop Type for Parcels.
Discussion: Does your county have groups of Parcels that do not fit into the predefined list of Asmt Prop Types currently available in CAMA Admin and are also not Mixed Use? Please post a response to this discussion with examples of the make up of these Parcels so that we can find a solution and created additional Asmt Prop Types if needed.
Question: Some of the Asmt Prop Types are self explanatory, but others are vague and it's not really apparent when to use them.
Answer: Thank you for the feedback. We've added definitions to the various Asmt Prop Type codes in the following article: Assigning an Asmt Prop Type to a Parcel
Please let us know if this helps to clarify the use cases of the less obvious Asmt Prop Type codes. If not, we can try to provide additional use case examples where needed.
Further Discussions: Were you unable to attend yesterday's meeting and have additional questions? Did you think of questions after the meeting has ended? Do you have additional questions regarding the recap provided? The community area is a great forum for discussion. We'd love to hear your feedback. If there's something that you are questioning, more than likely there are several others from different counties with the same question that could benefit from hearing the response. Please feel free to comment on this post so that we can all work together to share best practices throughout the counties.
